Registering WhatsApp Intro Messages (Template Approval)

Before you can launch a WhatsApp survey or broadcast, you must first register the intro message as a WhatsApp template. This process now happens directly within the Impaxio platform.

1) Navigate to the Wave Plan
To get started, navigate to the WhatsApp survey or broadcast you are planning to send out. Then go to the WAVES section and start creating a new wave plan.

Select your WhatsApp number as Message route – that might be selected automatically, if WhatsApp is already the standard route for this survey.

If your intro message hasn’t been registered yet, you will see a warning box:

⚠️ Your intro message is not yet registered! Please verify the intro text and fill out the template name and language to submit template to Twilio and start WhatsApp approval review.

Click the Submit Content Template button to start the registration process.

If your intro message is already registered, you will see a green box indicating:

Your intro message is registered and approved.

This means that you can skip the following steps, and directly proceed with sending out your broadcast or survey. 

2) Submit the Template for Review

After having clicked on “Submit Content Template”, a new window will open where you can review and submit your WhatsApp message template:

  1. Template Text: Review the message content. This is the text that will be sent to users.
    Example:
    Hi {{Contact.FirstName}}, here is your Impaxio WhatsApp test survey! Reply 1 to start. Free to reply. For help reply HELP.


    Note: This is a copy of the intro text you use in your survey or broadcast. If you want to change this, navigate back to your survey or broadcast configuration and change the text there.
  1. Template Name: Enter a unique name for the template.
    Example: my_intro_message_v1
  2. Language: Select the language of the message.
    Example: English
  3. Variables: If the message contains variables (like first name), provide an example value.
    In this case, {{Contact.FirstName}} is mapped with the value Michael.

Once everything looks correct, click Submit Content Template. Your request will then be sent automatically to WhatsApp (Meta) for their review. 

3) Wait for Approval

The review usually takes less about one minute. So best is to keep the window open and wait until the Template is (hopefully) approved. 

Once approved, the intro message will be shown as "registered and approved" and your wave can be triggered as planned. 

All Done! You can now continue setting up your wave plan and send out your surveys or broadcasts.
